Mandala and business suites.
There are three usual ways to run a small business’s back office: a real ERP such as Odoo, a flexible database such as Airtable, or Notion bent into the job. Each is a good answer for somebody. Mandala is a fourth, with a different starting point: the rules first, on your own machine.

Three good answers.
One integrated suite: accounting with tax rules for around a hundred countries, inventory, manufacturing, point of sale, HR, eCommerce. A store of tens of thousands of community apps and thousands of partners who will set it up for you. You can use Odoo’s cloud or host it yourself.
The quickest path from a spreadsheet to a relational application: linked tables, polished interfaces, automations, an API, and AI that builds apps and works inside fields. Non-technical teams build real tools in it, together, in realtime.
Documents and databases in the same place, so the process, the tracker and the wiki sit together. Inexpensive, pleasant to write in, easy to share with guests, with agents that work across the workspace.
What says no.
In a flexible tool, a table accepts whatever is typed into it, and the rule lives in people’s heads or in an automation someone wrote. In an ERP, the rule lives in the vendor’s modules, and yours are customisations on top.
In Mandala the rule is the application. A contract says what an order is and what must be true before it ships. It refuses anything else, from a person, an import or an AI, and it keeps a signed record of what it accepted.
All three suites now have AI agents that create and edit records. Mandala’s accomplice does too, and it can’t do what a contract forbids.
Page and revision history in hosted tools is kept for a period that depends on your plan. In Mandala the history is the data, on your disk, for as long as you keep it.
Nothing goes to the Moon until a second person confirms it. I’ve asked Leela.
state.status == Confirmed or state.destination != "Moon"
Where they differ.
| Odoo | Airtable | Notion | Mandala | |
|---|---|---|---|---|
| Where it runs | Odoo’s cloud, Odoo.sh, or your own server | Airtable’s cloud | Notion’s cloud | Your own machine or server only |
| What defines a process | Odoo’s modules, plus Studio or Python for your own | Tables, fields, automations and interfaces you build | Databases, properties and automations you build | A contract: state, actions and what must hold, in readable text |
| What it covers out of the box | Most of a company: accounting, stock, manufacturing, sales, HR | Whatever you build; many templates | Whatever you build; many templates | A workspace and a small standard library. No accounting suite, no payroll |
| Stopping a wrong entry | Module logic and access rights | Field types and permissions | Property types and permissions | The contract refuses it, with the reason, whoever tries |
| History of changes | Messages on each record; some journals can be locked with hashes | Revision history: two weeks on the free plan, a year on paid plans | Page history: 7 to 90 days by plan, unlimited on Enterprise | Every change, signed, kept on your disk |
| Size limits | A full database behind it | Records per base by plan: 1,000 free, 50,000 Team, 125,000 Business | Up to 250,000 rows per database | Your disk. Young at large scale |
| Help when you’re stuck | Thousands of partners; vendor support | Vendor support, a large community | Vendor support, a large community | The docs, and us |
Plan limits and history periods are from each vendor’s pricing and help pages on the date above, and vendors change them. Check the current pages before you decide.
Said plainly.
Odoo does statutory accounting and tax for many countries, payroll, stock valuation, manufacturing. Mandala does none of that today. If you need it this quarter, you need Odoo or something like it.
There is no app store for Mandala and no network of integrators. You, your accomplice and the docs are the implementation team.
Airtable and Notion work in a browser in minutes, with phone apps. Mandala needs a machine that stays on.
All three are built for many people working at once. In Mandala, several people each with their own sign-in on one workspace is still coming.
Hermes may handle supplier invoices for Planet Express, signing as himself. The grant is a record too, signed by the owner who gave it.
Choose honestly.
Choose one of them if…
- You need accounting, tax, payroll, stock or manufacturing now, and want an integrator and a support contract: Odoo.
- Your team wants a hosted, polished app on structured data, built without IT, within the record limits: Airtable.
- Your back office is mostly documents with light trackers, and writing and sharing matter most: Notion.
- Several people must work in it together from day one.
Choose Mandala if…
- You want your business’s data and rules on a machine you own, with no per-seat cloud in the middle.
- Your processes are your own, and you would rather state them than configure around someone else’s.
- You want an AI doing routine work, and need to prove what it did and that it couldn’t have done otherwise.
- You are small enough to start with a few processes and grow them.
A fair path for many: keep your accounting where it is, and run the operations you can’t buy off the shelf in Mandala. Sovereignty · Rules, not code
